Zoom Web Conference & Phone Guru Guide

OVERVIEW
This document is intended to provide guidance on how to use Zoom App and its features, and how to request help when further assistance is required.

WHAT IS ZOOM?
Zoom combines the power and reliability of Zoom phone systems with audio and video conferencing into one simple, reliable, and flexible solution. Now you can meet, talk, chat, text, and collaborate seamlessly through a single application, keeping you productive and frustration-free.

ZOOM ACCOUNT
All existing Gurus who have account on Go To (Formerly called Jive) application will be extended access to Zoom platform. All user registration will be created and managed by IT Helpdesk Gurus.

ZOOM PHONE

LOGIN TO ZOOM APPLICATION

1. Zoom application is already installed on your PC as part of the Zoom deployment. Double click on the Zoom icon on your desktop.

2. Click SSO button to sign into Zoom using SSO Username and Password.

3. For first time sign-in using SSO registration process, please update company domain name as shown below.

4. Enter your Employee Number and SSO Credential.

5. Select “Zoom Web Conference” from dropdown application menu and click Sign In.

6. Click Open Link and press “Launch Zoom” button.

7. After successful sign-in, select profile in Zoom App and click “Settings”

8. Select the following settings
a. Start Zoom when I start windows.
b. Integrate Zoom with outlook.


MAKING A CALL
1. Launch the zoom application and navigate to “Phone” menu where you will find the below options,
a. Dialpad to dial a number
b. History – Inbound, Outbound and Missed Calls
c. Voicemail
d. Lines
e. SMS


2. Dial a number using the on-screen or keyboard number pad, then click the phoneicon. If you dial a vanity phone number (the number contains characters), Zoom Phone will automatically convert the letters to numbers when you make the call.

HOW TO HOLD AND TRANSFER CALLS
1. During a call, tap Transfer.
2. Dial the phone number and tap the blue transfer button, or tap the contact icon to call an extension, outside line, or synced contact.
3. Select a transfer method:
a) Warm Transfer - the current call is put on hold until the dialed number is connected.
b) Complete Transfer - transfer the call and hang up your phone
c) Cancel Transfer - If you want to cancel the warm transfer and return to the original call

HOW TO ACCESS VOICEMAIL RECORDING VIA WEB LOGIN
1. Login to zoom portal using CBG SSO application (https://www.chargebackgurus.com/sso).
2. Upon successful sign-in, navigate to “Phone” menu and select “Voicemail”


HOW TO ACCESS CALL HISTORY
Through Phone Application:
1. Launch the zoom application and navigate to “Phone” menu. Select “History” to view all calling log.


Through Web Portal:
1. Login to zoom portal using CBG SSO application (https://www.chargebackgurus.com/sso) and navigate to “Phone” menu and select “History”


HOW TO INSTALL ZOOM APP IN MOBILE (IOS/ANDRIOD)
Installing Zoom (Android)
1. Tap on the Google Play Store icon on your Android Mobile Device

2. Enter zoom in the search text area, and then tap ZOOM Cloud Meetings from the search results.

3. In the next screen, tap Install.

4. In the next screen, tap Accept.

5. When the Zoom has installed, tap Open.

6. In Zoom, tap Sign In.

7. In the Sign In window, click Sign In with SSO.
8. Enter domain as “Chargebackgurus” and click continue.
9. Enter your CBG SSO Username and Password to sign-in to Zoom App.
10. If you’ve connected successfully, you will see the Zoom main screen as shown below:

11. You can now be able to call or join a Zoom meeting on your Android device

Installing Zoom (IOS)
1. Tap on the Apple App Store icon on your iOS device to open.

2. Enter Zoom in the search bar and Select ZOOM Cloud Meetings from the available app choices, and then tap on the GET button.

3. Tap Open once the installation is completed.

4. In the Zoom app, tap Sign In.

5. In the Sign In window, click Sign In with SSO.
6. Enter domain as “Chargebackgurus” and click continue.
7. Enter your CBG SSO Username and Password to sign-in to Zoom App.
8. Tap Allow to get notification from the zoom application. Confidential & Proprietary Page

9. Tap OK to allow the iPhone calendar to access the zoom meetings.

10. The Zoom main window will be displayed.

11. You’ll now be able to call and join a Zoom meeting from your iOS device.

HOW TO MAKE CALLS THROUGH PHONE
1. Launch the zoom in the iOS mobile phone and navigate to Phone menu and click on Dialpad

2. Dial the number and click call button


HOW TO ENABLE CALL FORWARDING
1. Sign into the Zoom web portal.
2. Click Phone and navigate to Settings tab.

3. In the Business Hours or Closed Hours section, click Edit next to Call Handling.

4. Click Add Phone Number

5. Add the number to whom the call needs to be forwarded and click Save

6. Forwarding number has been successfully added

7. To edit call handling settings for Holiday/leave Hours, click Manage next to Holiday List & Call Handling, select a holiday, then click Edit next to Call Handling. Now follow the steps from Step 3


INCOMING CALLS DURING A ZOOM MEETING
1. If you are in a Zoom Meeting and you receive a call, the audio will mute for you whilst tthe call is coming through. To avoid this from happening:
2. Select your name / icon on the top right of the Zoom desktop Application and select Settings.

3. Ensure you are in the Phone menu as indicated on the left.

4. Select the check box for “Hide incoming calls while in a Zoom meeting”. This allows you to receive a call while in a meeting, but the notification is silenced and not interrupt your meeting. You may ignore this call and it will go to voicemail.

ZOOM PHONE – AUDIO SETTINGS
Audio settings may need to be checked or configured if you are having audio difficulties such as the person on other line cannot hear you or you cannot hear them. To do so:
1. Select your name / icon on the top right of the Zoom Application and select Settings.

2. Select ‘Audio’ on the left menu.

3. If you cannot hear the person, ensure your system SPEAKER setting is correct.
4. If the person on the other line cannot hear you, ensure the MICROPHONE settings of your system are correct.
5. Adjust volume levels of your system SPEAKER or HEADSET so that you can hear the person on the other line.
6. If your voice is sound low / weak to the other person, increase the volume level of your System MICROPHONE.

HOW TO SEND SMS
Through Desktop Client:
1. Launch the Zoom Desktop App and navigate to Phone menu. Now select SMS option and compose

2. In the To field at the top, enter a name or phone number to search through your contacts directory, or manually enter a phone number. You can add up to 10 contacts / phone numbers.
3. If the recipient is in your contacts directory, the number will be replaced by the contact's name, otherwise, it will remain a phone number.
4. Note: If the contact has several phone numbers, click the right arrow icon to view and select the number to send SMS to.
5. Enter a message.
Through Mobile Phone:
1. Launch the Zoom Mobile App and navigate to Phone menu. Now select SMS option and compose

2. In the To field at the top, enter a name or phone number to search through your contacts directory, or manually enter a phone number. You can add up to 10 contacts / phone numbers.

ZOOM MEETING

HOW TO GET STARTED:
1. Launch the Zoom Desktop App on your computer.
2. If not signed-in already, click SSO and sign in as per process.
3. After successful Sign In, you will get the home screen where you will find the below options,
a. Schedule a Meeting
b. Join a Meeting
c. New Personal Meeting
d. Share Screen


HOW TO SCHEDULE A NEW MEETING:
1. On the Zoom App, Click the schedule button to schedule a New Meeting

2. The app will show a pop-up screen that will let you enter the topic of your scheduled meeting, select an appropriate date and time, create a strong password, and select options to enable or disable the meeting for telephone or computer users.
3. Once you’ll fill in all the details, you will have an option to set an Outlook Calendar, Google Calendar and others.
4. Now, you need to click Save to schedule your meeting.


HOW TO JOIN A MEETING
1. On the Zoom App, click “Join” button from home screen.
2. A pop-up screen will appear that will ask you to enter the Meeting ID or the personal link name to join in a meeting. You can also change your name from that screen and enable or disable the options to connect to your audio and show your video.
3. You’ll now need to click the Join button from the screen to join the meeting.


HOW TO ACCESS MEETING RECORDINGS
Through Desktop Client:
1. Launch the Zoom Desktop App. Navigate to Meeting menu and select Recorded

Through Web Portal:
2. Login to zoom web portal (https://www.chargebackgurus.com/sso -->Zoom Web Conference) and navigate to Recording menu and select Cloud Recording. Meeting can be filter by date or meeting ID


HOW TO SET PIN OR PASSCODE FOR MEETING
Through Desktop Client:
1. Schedule a meeting from Zoom Desktop App

2. Check the Passcode and customize the PIN if needed

Through Web Portal:
1. Login to zoom web portal (https://www.chargebackgurus.com/sso -->Zoom Web Conference) and Schedule a Meeting

2. Go to Security option and check the Passcode. Customize the PIN if needed


HOW JOIN MEETING VIA MOBILE CALL OR LANDLINE
WHAT IS DIALING NUMBERS
By default, zoom meeting invitations designate which dial-in numbers are toll-free by adding "Toll Free" in parentheses after the number. Participant can join the meeting through phone calls (carrier calling) in case they face any issues in the computer audio

HOW TO JOIN
1. Dial the number mentioned in the meeting invitation and wait for IVR to ask for the meeting ID. Then enter the meeting ID to join the meeting.
